Who we are
VDS Auto Detailing, also trading as Vehicle Detailing Surgeon, is the controller of the personal information described in this policy. You can contact us at info@vdsautodetailing.co.uk or on +44 7591 780753.
Information we collect
- Your name, email address, phone number, and enquiry message.
- Your selected service, vehicle make and model, vehicle size, postcode, and service address where you choose to provide them.
- Your vehicle registration when you enquire about Paint Chip Repair. We collect it so colour-matched paint can be identified and ordered for your vehicle before the appointment.
- Photos of vehicle damage if you reply to an enquiry confirmation email with images so we can assess and quote the work.
- Limited technical and security information processed when the enquiry form uses Cloudflare Turnstile to detect automated abuse.
- Information about how the website is used, and which link or search brought you to it. See Cookies and analytics below.
How we use your information
- Respond to enquiries and prepare service quotes.
- Arrange, provide, and follow up on booked services.
- Match and order paint for Paint Chip Repair using the vehicle registration supplied with the enquiry.
- Assess vehicle-damage photos before confirming a quote.
- Send enquiry confirmations and internal booking notifications.
- Protect the form and website from spam, fraud, and misuse.
- Keep records needed for accounting, legal, or dispute purposes.
Our lawful bases
We process enquiry and booking information because it is necessary to take steps at your request before entering into a contract, and to perform a contract when you book a service. We rely on our legitimate interests to operate and secure the website, administer enquiries, and maintain proportionate business records. We may also keep information where necessary to meet a legal obligation.
Analytics cookies, and the record of how you found the site, are handled only on the basis of your consent. You can withdraw that consent at any time using Cookie Settings in the footer, and doing so does not affect anything done before you withdrew it.
Your name, email address, and security verification are required to send the form. A vehicle registration is required only for Paint Chip Repair; without it, we cannot identify and order the correct paint. Other form fields are optional unless we tell you otherwise.
Cookies and analytics
Cookies are small files stored on your device. We set two kinds.
Strictly necessary cookies make the site work and do not need your permission. These are the cookie recording your choice below, which lasts six months, and the anti-spam check Cloudflare Turnstile runs on the enquiry form.
Analytics cookies are only set if you agree. We use Google Analytics 4, loaded through Google Tag Manager, to understand which services, areas, and pages people are interested in so we can improve the site. It records pages viewed, the approximate area you are in, the site or search that sent you, and which buttons and links you use — such as tapping a phone number or sending an enquiry.
We deliberately do not send Google your name, email address, phone number, vehicle registration, full postcode, or address. Where a postcode is relevant we send only the outward part, such as "EH54". IP addresses are shortened by Google before storage and we have turned off the setting that would share this data for advertising. Analytics data is kept for 14 months.
Until you agree, Google's tags run in a restricted mode that sets no cookies and cannot identify you. If you enquire, we also record with the enquiry which link or search brought you to the site, so we know what is working; if you have not agreed to analytics, this covers your current visit only and is not stored on your device.
You can change or withdraw your choice at any time using the Cookie Settings link in the footer of every page. Withdrawing analytics consent deletes the Google Analytics cookies already on your device. You can also block or delete cookies in your browser settings.
Who receives your information
We do not sell personal information. We share only what is needed with service providers that help us operate the website and handle enquiries, including:
- Brevo, which delivers transactional enquiry emails;
- Cloudflare, which provides Turnstile abuse protection;
- Google, which provides Analytics and Tag Manager, but only if you have agreed to analytics cookies;
- our website hosting, email, and IT service providers; and
- our paint-matching supplier, which receives the vehicle registration needed to identify and fulfil the correct paint.
We may also disclose information where the law requires it or when necessary to establish, exercise, or defend legal claims. Where a provider processes information outside the UK, we use providers that put appropriate UK data-protection safeguards in place.
How long we keep it
The website does not save contact-form submissions, registrations, or damage photos in a customer database. They are handled through email. We keep enquiry emails and any attachments only for as long as needed to quote, deliver, and follow up on the service, resolve disputes, and meet applicable accounting or legal requirements. Unsuccessful enquiries are deleted when they are no longer needed. Security and delivery providers may retain limited logs under their own retention schedules.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict, or receive a copy of your personal information. You may also object to processing based on our legitimate interests. Contact us using the details above to make a request. These rights are not absolute and legal exceptions may apply.
You have the right to object to processing based on legitimate interests. Email us and explain what you object to so we can review the request.
Complaints and updates
Please contact us first if you have a privacy concern so we can try to resolve it. You can also complain to the Information Commissioner's Office. We may update this policy when our services or data handling change, and the latest version will remain on this page.
