Terms of Service

These terms explain how bookings with VDS Auto Detailing work. They apply to customers booking our mobile vehicle valeting, detailing, paint-care, and related services as consumers.
1. About us
VDS Auto Detailing, also trading as Vehicle Detailing Surgeon, provides a fully insured mobile service from Livingston across West Lothian, West Edinburgh, and surrounding areas. In these terms, “VDS”, “we”, “us”, and “our” refer to the service provider.

2. Enquiries and bookings
A contact-form submission, phone call, WhatsApp message, or request for a quote is an enquiry only. It does not oblige you to book or oblige us to provide a service.
A contract is formed when we confirm the service, appointment date, service location, and agreed price or clear pricing basis in writing, and you accept that booking. If we tell you that an advance payment is needed, the booking is not confirmed until it has been received.
Your booking includes these terms, the relevant service description on our website, and anything specifically agreed in your written quote or booking confirmation. If they conflict, the most recent written agreement between us takes priority.
3. Prices, quotes, and payment
- Website prices marked “from” are starting prices. Vehicle size, condition, access, and the amount of work needed may affect the final quote.
- Quotes rely on the details and photos you provide. If an inspection reveals materially different work, we will explain any revised price and obtain your agreement before continuing.
- We will not carry out chargeable extras without your agreement.
- Unless agreed otherwise, payment is due when the service is completed. We accept card payment, bank transfer, and cash.
Some work requires colour-matched or other materials to be ordered specifically for the booking. For example, Paint Chip Repair requires paint matched to the vehicle. We may ask for a reasonable deposit or materials payment before placing that order. We will tell you the amount and cancellation position before you agree to pay it.
4. Your responsibilities
You agree to:
- have the vehicle owner's authority to book work on the vehicle;
- provide accurate information about the vehicle, its condition, and the requested service;
- provide access to the vehicle and its keys at the agreed time;
- ensure we have permission to work at the location and enough safe, lawful space around the vehicle;
- remove valuables and personal belongings before the appointment; and
- tell us about known defects, loose or fragile parts, previous repairs, aftermarket modifications, warning lights, leaks, or other issues that could affect the work.
Our van normally carries its own water and power. If access is unsafe, unlawful, or materially different from what was agreed, we may pause the job, agree a reasonable change with you, or reschedule it.
5. Appointment times and weather
Service durations and arrival times are estimates. Vehicle condition, traffic, earlier appointments, equipment issues, and weather can cause delays. We will let you know if a material delay affects your booking.
Heavy rain, high winds, extreme temperatures, or another unsafe working condition may make exterior or machine-based work impractical. If that happens, we will offer a suitable new date. If we cannot provide the agreed service and you do not accept a replacement date, we will refund any payment for work not provided.
6. Your right to cancel
If consumer law gives you a 14-day cancellation period because your contract was agreed at a distance or away from our business premises, it normally starts the day after the contract is made. You can cancel during that period without giving a reason by sending us a clear statement by email, phone, or WhatsApp.
If you want the service to begin during that cancellation period, we may ask you to expressly request early performance. If you then cancel after work has started, you may have to pay a proportionate amount for work supplied up to cancellation. Once a service has been fully performed, you may lose the statutory cancellation right where you expressly requested early performance and acknowledged that consequence. We will ask for the confirmations required by law where they apply.
These statutory rights are separate from our appointment policy below and take priority where they apply. Where a statutory cancellation requires a refund, we will return the amount due without undue delay and within 14 days after you tell us you are cancelling.
7. Cancelling or moving an appointment
Outside any statutory cancellation right, please give us at least 24 hours' notice if you need to cancel or reschedule. If you cancel on the same day, miss the appointment, or do not provide the agreed access, we may ask you to cover a reasonable amount of our direct loss after taking reasonable steps to fill the slot. We will explain how any charge has been calculated; it will not be an automatic charge for the full service price.
Where we have already bought vehicle-specific materials that cannot reasonably be returned or reused, any deduction from an advance payment will be limited to the reasonable, unrecoverable loss caused by the cancellation and only where the law allows it. Any remaining balance will be returned.
You do not have to use a particular form to cancel. If useful, you can email: “I give notice that I cancel my booking for [service], agreed on [date], in the name of [your name].”
8. If we cancel or need to stop work
We may cancel, pause, or reschedule where circumstances genuinely outside our control prevent safe or proper work, or where the vehicle or location presents a material risk that was not disclosed. We will explain the reason and give as much notice as reasonably possible.
If you are not at fault, we will offer a replacement appointment or refund payments for work not provided. If work must stop because information or access you supplied was materially inaccurate, we will discuss a fair charge for work already completed and direct loss actually incurred.
9. Service standards and results
We will provide the agreed service with reasonable care and skill and in line with its description. We do not promise that every stain, odour, scratch, swirl, chip, or defect can be removed. Results depend on factors including age, wear, previous repairs, material type, paint depth, contamination, and the vehicle's starting condition.
We will explain material limitations we identify. In particular, cosmetic Paint Chip Repair improves existing bodywork chips but is not a respray and does not make every chip invisible; metallic and pearl finishes can remain visible at some angles. Online photographs and examples illustrate the type of result possible, not a guarantee for every vehicle.
10. Pre-existing condition
We may inspect and record the vehicle's condition before work. VDS is not responsible for pre-existing damage or for a problem that we did not cause by failing to use reasonable care and skill. Fragile, loose, heavily worn, corroded, poorly repaired, or previously repainted parts can react differently during cleaning and correction, which is why you must tell us about known issues.
Please inspect the work when it is completed where practical and tell us promptly if you believe something is wrong. This helps us investigate and, where appropriate, put the work right. A delay in reporting does not remove any rights you have under consumer law.
11. Our responsibility
We are responsible for loss or damage that is a foreseeable result of our breach of contract or failure to use reasonable care and skill. We are not responsible for loss or damage that we could not reasonably have foreseen when the contract was made or that was not caused by us.
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or your statutory rights and remedies.
12. Concerns and complaints
If you are unhappy with a service, contact us as soon as reasonably possible with the booking details and an explanation of the issue. We will investigate and respond. Where the service was not provided with reasonable care and skill, consumer law may give you the right to repeat performance or an appropriate price reduction, depending on the circumstances.

14. Changes to these terms
We may update these terms for future bookings. The version in force when your booking is agreed will apply to that contract, unless a change is required by law or we both agree a change in writing.
15. Governing law
These terms and consumer contracts with VDS are governed by Scots law. Scottish courts may deal with disputes. If you live elsewhere in the UK, you keep any mandatory legal protections that apply to you and may use the courts available to you under applicable law.
If any part of these terms is found unenforceable, the remaining terms will continue to apply.
